Bring your old records in, and see who owes you

Our biggest update so far. Here are the five changes you will notice most, followed by everything else. All of it is already in your account.

Bring your old records in

Upload past enrolments, attendance and unpaid balances from a spreadsheet. Kelasapp checks every row first and shows which ones have missing or badly formatted details. Any row it cannot match is skipped and listed after the import.

See who owes you, by family

One list of unpaid fees, grouped by family and by how many months old. Follow up the oldest first.

Parents get invoices and receipts

Parents open each invoice in their own portal and download a receipt for every payment you have confirmed. Fewer messages asking the office for proof.

Never lose an enquiry

Share a booking link for trial classes, keep a waitlist when a class is full, and see which enquiries still need a follow-up call.

Quran progress for every student

Teachers record each student's tasmik and where they have reached in Iqra or the Quran. Parents see their child's progress in their own portal.

Fees and invoices9

  • Invoice history

Every invoice now lists what happened to it, from issued to paid, including each receipt a parent sent in.

ExamplePuan Faridah asks why her bill is RM 180. The history shows it was issued on 01/09/2026, she sent a receipt for RM 100 on 05/09/2026, and RM 80 is still owed.

Find it in: Finance › Billing › open any invoice

  • Part payments go to the right class

A parent who pays less than the full invoice can say which classes the money is for, so your class collection reports stay correct.

ExampleA family owes RM 180 for two classes and pays RM 120. They put it toward Al-Quran Asas, so Fardhu Ain still shows RM 60 owing.

Find it in: The invoice link you send the parent

  • Receipt beside the amount

When you check a parent's receipt, the picture now sits next to the amount it must match.

ExampleThe parent entered RM 180 but the receipt shows RM 150. You spot it in one look and reject it.

Find it in: Finance › Billing › Pending payments

  • Prepaid packs

Record sessions a family has already paid for up front. A class covered by a pack is never billed again, and you can see how many sessions are left.

ExampleA family pays RM 400 for 10 Tahsin sessions. The pack shows 7 of 10 left, and no monthly bill is sent for that class.

Find it in: Finance › Prepaid packs

  • Fix a wrongly recorded payment

Correct the date, amount, method or reference of a payment you keyed in. The original values, the reason and the staff member are kept permanently.

ExampleYou keyed RM 510 but the parent paid RM 150. Correct it with the reason "typing mistake".

Find it in: Finance › Billing › open any invoice

  • Fee month and receipt month

The Dashboard shows how much of each month's fees has been paid. Program performance shows the cash that actually came in each month.

ExampleA parent pays August and September together on 03/09/2026. Fee month shows both months paid. Receipt month shows all the cash under September.

Find it in: Overview › Dashboard

  • Accounting export

Download issued invoices, confirmed payments, refunds and teacher payouts for a date range. It opens in Excel or Google Sheets.

ExampleAt year end, export 01/01/2026 to 31/12/2026 and send the file to your accountant.

Find it in: Finance › Accounting

  • How to pay, right on the invoice link

When a parent opens the invoice link you send, they now see your centre's name, WhatsApp number, bank or DuitNow details, the issued and due dates and the status. Nobody has to ask how to pay.

ExamplePuan Zaiton opens the link on her phone, sees the Maybank account number, taps WhatsApp to ask a question, and pays before the due date.

Find it in: The invoice link you send the parent

  • A quick check before money moves

Issue all drafts, Verify receipt and Reject receipt now ask once, then tell you what happened. No more issuing a whole month by accident.

ExampleYou click Issue all drafts. Kelasapp asks: Issue 9 invoices for October 2026? You confirm, and a message says 9 invoices issued.

Classes and attendance8

  • Cancel a class that did not happen

Cancel a single session. It stays on the list but stops counting toward attendance and teacher pay. You can undo it.

Example16/09/2026 is Malaysia Day. Cancel that day's class so nobody is marked absent and the session is not paid.

Find it in: Academic › Attendance › Cancel class

  • Replacement classes

Record the sessions your centre owes a family, book each one into a real class, and see what is still outstanding. Parents can see what they are owed too.

ExampleUstazah Nur Aisyah is on leave on 10/09/2026. You grant her 5 students one replacement class each, and tick them off as they are done.

Find it in: Academic › Replacement classes

  • Class size limit

Set how many places a class has. Kelasapp stops enrolments past that number, and families using your booking link are offered the waitlist instead.

ExampleTahsin Al-Quran takes 8 students. The ninth family who opens your booking link is offered the waitlist.

Find it in: Academic › Classes › edit a class

  • Reopen an old lesson

Teachers can edit attendance for 7 days. After that, the office can reopen one lesson for the teacher, with a reason.

ExampleA teacher forgot to mark 02/09/2026 and it is now 15/09/2026. You reopen that one lesson for her.

Find it in: Academic › Attendance › Reopen for teacher

  • "Late" is optional

Turn Late off and your centre uses Present instead. Your existing Late records stay unchanged.

ExampleYour centre only records Present, Absent and Excused. Turn Late off and it no longer shows on the register.

Find it in: Settings › Invoicing (centre owner only)

  • Timetable in your phone calendar

Add your class timetable to Google Calendar, Apple Calendar or Outlook with one link. You can reset the link at any time.

ExampleUstaz Zulkifli adds the link once. His Saturday 10:00 AM class then shows in his phone calendar beside his other plans.

Find it in: Academic › Calendar

  • A class is Complete only when everyone is marked

The attendance list shows In progress until every student has a mark. If you save with students left blank, it asks once whether to mark them present or save as is.

ExampleUstazah Nur Aisyah marks 9 of 10 students and taps Save. Kelasapp asks: 1 student not marked. Mark them present, or save as is?

Find it in: Academic › Attendance

  • Save stays in view

On the attendance register and on long forms, the Save button now stays at the bottom of the screen while you scroll. After saving a register it offers the next class of the day.

ExampleOn a phone, the teacher marks a 30-student class and never has to scroll back down to find Save.

Find it in: Academic › Attendance

Students and families5

  • At risk of leaving

Students showing the signs that come before a family stops coming, worst first.

ExampleHarith missed 3 classes in a row and has 2 invoices overdue. He is at the top of the list, so you call the family this week.

Find it in: Overview › At risk

  • Duplicate records

Finds the same child or parent recorded twice, by IC, phone and name, and merges them. New duplicates are now caught when you save.

ExampleNur Aisyah binti Rahman was added twice with the same IC. Merge them and her attendance sits in one record.

Find it in: People › Duplicates

  • Family connections

Shows which families Kelasapp can reach by email and why the others cannot be reached, so you can invite them.

Example12 of your 40 families have no email on file. The page lists them so you can ask for one and send an invitation.

Find it in: People › Parents › Family connections

  • Report cards

Record marks by subject and term for KAFA and school-style classes. The grade follows the mark, and you can download a report card and a certificate for each student.

ExampleUstaz Faiz keys in his Tahun 4 class's Penggal 1 marks. The office downloads Aiman's report card as a PDF for his parents.

Find it in: Academic › Report cards

  • Parents get their own Help and Profile

In the parent view, Help answers the questions parents actually ask, and Profile shows their own details. The office menu never shows to a parent.

ExamplePuan Faridah opens Help and finds 'How do I pay?' answered in plain words, with your centre's contact.

Find it in: The invoice link you send the parent

Teachers and pay1

  • Fixed monthly salary

Choose per session or a fixed monthly salary for each teacher. A fixed salary is paid every month whether or not they teach.

ExampleUstaz Ahmad is paid RM 1,800 a month. His payslip shows RM 1,800 whether he taught 16 or 20 sessions.

Find it in: Academic › Teachers › edit a teacher

Moving your records2

  • Financial start date

Pick the date your fees start in Kelasapp. Attendance before that date is kept as a record and never creates invoices or teacher pay.

ExampleYou start billing on 01/10/2026. The January to September attendance you import creates no invoices.

Find it in: Settings › Invoicing (centre owner only)

  • Correct an enrolment date

Change when a student really joined a class, with a reason, before that enrolment has been invoiced. Kelasapp keeps the original date on record.

ExampleAiman joined on 03/03/2026 but was keyed in as 30/03/2026. Correct the date before his first invoice and give the reason.

Find it in: Academic › Classes › open a class

Easier on your phone3

  • Every list works on a phone

Students, parents, classes, invoices, pending receipts, packs, enquiries, Quran progress, report cards and teacher pay now show as cards on a phone, so nothing is cut off at the edge.

ExampleOpen Students on your phone: each student is a card with their phone, parent and classes, and search still works.

  • One way to write dates, times and money

Every screen now writes dates as 22/09/2026, times as 8:00 AM and money as RM 1,234.50, in both languages.

  • Tidier page tops

Each page has one main button, the rest beside it or under More, and every detail page has a Back link above its title.

Smaller fixes5

  • Email updates

Parents with a login get an email when you issue their invoice yourself, when their receipt is approved or rejected, and when their child misses 3 classes in a row.

ExampleEncik Yusof uploads a receipt at night. You approve it the next morning and he gets an email saying it was accepted.

  • Clearer words in both languages

We now say Parents (not Guardians), Enrol and Session everywhere. In Malay: ibu bapa, Pengebilan for the module and Invois for the document. The app checks itself against the word list.

  • Better Bahasa Melayu

The whole app was reviewed against one agreed word list, so the Malay wording is more natural and consistent.

  • Faster dashboard

The dashboard opens quicker for centres with many months of records.

  • Fairer attendance rates

On the dashboard and the attendance list, a class's rate now counts every enrolled student, not only the ones who were marked.
